Alert Levels & Collective Intelligence Meetings

Our Approach: Life and work is not business as usual (and it’s unlikely to be any time soon). We’re aiming to be as flexible and adaptable as we can to ensure that all our teams stay well connected. Teams have been working really well in recent months, as we’ve been in and out of the levels, and have supported each other immensely. Thank you.

OUR GUIDE TO HOW THINGS WORK MEETING-WISE FOR EACH LEVEL:

Alert Level 1 – Prepare & be ready for reappearance:

  • Meeting Venues: Face to face (F2F) meetings are the norm, with hybrid meetings (see Alert Level 2 below) for teams who require it. We’ll focus on meeting in main centres to allow for maximum flight, venue, and catering options and ease of cancellations if plans need to change with level changes.
  • Hygiene: practise good hygiene protocols as per MoH Guidelines in preparing for and attending F2F meetings
  • Contact Tracing: use the Meeting Venue QR Code / complete the onsite contact tracing meeting form
  • We ask you to take responsibility for knowing your own limits / boundaries in this level and the next. These may change over time so please stay current.

Alert Level 2 – Reduce:

  • Meeting Venues: Hybrid (mix of F2F and Zui-style online) meetings the norm, with Zui-style online encouraged:
    • Members to make their own calls about whether to attend F2F or Zui-style wrt to illness, personal immunity risk etc
    • A focus on meeting in main centres to allow for maximum flight and venue options and ease of cancellations if plans change
    • Zui-style meetings run through Zoom with technology support from facilitators (supply of speakers in F2F meeting to ensure good experience for zui attendees)
    • We avoid using AirBnB or other private venues for meetings to ensure venue hygiene is well maintained.
  • Hygiene: practise good hygiene protocols as per MoH Guidelines in preparing for and attending F2F meetings, maintain physical distancing in the meeting (1m), and we encourage and support mask wearing in meetings (please supply your own).
  • Contact Tracing: use the Meeting Venue QR Code / complete the onsite contact tracing meeting form

Alert Level 3 – Restrict:

  • All meetings and interaction online/virtual

Alert Level 4 – Lockdown:

  • All meetings and interaction online/virtual

OUR COMMITMENT TO KEEPING OUR MEMBERS SAFE AND SUPPORTED:

  1. Our Service & Support:

    • Office: We operate a Base Team head office at 38 Fergusson Street in Feilding, but our staff all work remotely when the alert levels dictate, so you should not notice any significant difference in how we look after you as alert levels change (if you do – please tell us!).
    • Contacting us: Our landline forwards to a mobile number and you can always get hold of us through our website, our individual contact details, and via hello@collectiveintelligence.co.nz
    • Assistance: if you need anything or additional support, please just ask. These are challenging times.
  2. Meeting Logistics and Planning:

    • Logistics: The alert level changes have significant impacts on the planning for F2F meetings, with air travel, many of our usual venues or catering becoming unavailable or limiting their service. We aim to plan out as far as we realistically can but need your help and understanding. If you’re a meeting host, please help us with local intel on what’s open and working in your area.
    • Planning challenges: Everyone is stretched, and we appreciate that getting back to us with meeting detail may not seem like a priority. Consider what impact your delays might be having on your wider team and if you need help/can’t assist – just let us know (don’t sit on it) so we can sort it.
  3. Some things that need to be a bit different now:

    • Hygiene: we expect our F2F meeting venues to have good hygiene practices in place, but your facilitator also has access to hygiene/cleaning materials to allow them and your team to maintain cleanliness in your meeting space / equipment used.
    • Contract Tracing: please utilise meeting venues QR codes. Our facilitators will also have a paper contract tracing record in the meeting room that should be logged into to show your attendance in the meeting space.
    • Fruit and nuts supply: we won’t be providing communal snack kai like fruit and nuts in our F2F meetings for the foreseeable future to limit transmission risk. As we’re a BCorp, supplying highly packaged individual snacks are a no-go so we ask you to please bring your own snacks to meetings to deal to those hunger pangs between our catered breaks. We’ll be upping the catering a little to allow for hungry tummies.
